Job DescriptionCALENDAR MANAGEMENT & ADMIN SUPPORT
Manage the calendar of the CMCO. Schedule meetings, plan ahead to ensure adequate rest and work time. Manage CMCO's time with direct reports.
Act as a liaison between the CMCO and internal teams, artists, and external partners.
Organize and schedule company-wide meetings and appointments, coordinating across global time zones and setting up dial-ins (including video conferencing).
Compile and distribute marketing meeting agendas and post-meeting action item notes.
Oversee office management duties including, but not limited to, ordering and maintaining office supplies and ensuring office equipment maintenance.
Handle and direct incoming calls and visitors to the office.
Produce and edit presentations and documents as necessary.
Maintain a list of restaurant and meeting options along with food preferences.
Anticipate the needs of the CMCO and proactively address issues before they arise.
Handle confidential information discreetly and maintain professionalism in all interactions.
Provide administrative support to the Marketing and Creative team as directed by the CMCO.
TRAVEL & EXPENSES
Coordinate and manage all travel requirements for CMCO by collaborating with an external travel agency to arrange bookings and schedules. Analyze various travel options to ensure the most cost-effective and efficient choices are selected.
Keep an updated list of all rewards memberships and optimize travel arrangements with preferred vendors.
Regularly submit and oversee expense reports.
SUPPORT MARKETING & CREATIVE CAMPAIGNS
Facilitate the implementation of marketing campaigns, product launches, and creative projects by monitoring schedules, deliverables, and communications.
Perform research, gather data, and create presentations or briefing materials for executive meetings.
Administer and supervise the Red Bull Records internship program, including posting job descriptions, conducting interviews, hiring interns, and managing daily tasks across the company.
Coordinate special projects as needed.
EVENT MANAGEMENT
Help organize and attend events for artists or labels, including listening sessions and creative shoots.
Provide assistance with guest list management both before the event and on site, as needed.
Qualifications3 years of experience in an administrative support role, preferably within the entertainment industry.
Proven experience in booking international travel and managing logistics.
Must possess a keen attention to detail, strong time management skills, and the ability to multitask efficiently.
High emotional intelligence required; discretion and professionalism are essential.
Excellent interpersonal relationship skills; experience with artists, talent, and creatives is preferred.
Must be a highly motivated self-starter capable of functioning in a fast-paced environment.
Should be a team player willing to assist whenever needed, always thinking two steps ahead.
The position requires excellent oral and written communication skills.
Proficiency in Microsoft Office and presentation platforms is required.
A passion for music and an understanding of the music industry and creative arts is considered a significant advantage.
Additional InformationThis position is open to U.S. citizens, U.S. permanent residents, or individuals who are currently authorized to work in the United States on a valid visa.
The base salary range for this position is $51,200 to $76,800+ cash incentives. Actual salary offers may vary based on work experience. The base pay range is subject to change and may be modified.
